What It Is

What is an Invoice Format?

An invoice format is a ready-made layout that helps you bill customers for goods or services in a clear, consistent, and legally compliant way. For businesses in the UAE, a good invoice format carries every field the Federal Tax Authority (FTA) requires under Article 59 of the VAT Executive Regulations, including your Tax Registration Number (TRN), a sequential invoice number, the description of supply, VAT charged at 5%, and the total payable in AED.

Full Tax Invoice vs Simplified Tax Invoice

UAE VAT law recognises two invoice types. A full tax invoice carries both the supplier’s and the customer’s details, including the buyer’s TRN, and is required when the customer is VAT-registered and the supply is over AED 10,000. A simplified tax invoice carries fewer details, omits the buyer’s name and TRN, and is used for retail and consumer sales. A proforma invoice, by contrast, is a preliminary bill issued before a sale is confirmed, often for a booking or an advance, and is not a valid tax document on its own.

Why the Right Format Matters

A compliant invoice protects your VAT recovery, keeps you audit-ready, and signals a professional business to clients and banks.

Quick Guide

How to Create a VAT-Compliant Invoice

Follow these simple steps to raise an FTA-ready invoice in minutes.

01

Download Your Template

Pick a format that suits you. Excel auto-calculates VAT and totals, Word is easy to edit, and PDF is a clean print-and-fill copy.

02

Add Your Business Details

Enter your legal business name, address, logo, and your 15-digit TRN. The words “Tax Invoice” must appear clearly at the top.

03

Add Customer and Invoice Details

Add the customer’s name and address, plus their TRN for B2B sales. Enter a unique sequential invoice number, the issue date, and the due date.

04

List Items and Apply VAT

Add each item with description, quantity, and unit price. Apply 5% VAT to taxable items and show any discount separately.

05

Show Subtotal, VAT, and Grand Total

Display the amount excluding VAT, the total VAT in AED, and the grand total including VAT so the breakdown is fully transparent.

06

Save and Share

Export as PDF for a professional, non-editable copy and send it to your customer via WhatsApp, email, or print.

Understanding the Basics

Mandatory Fields on a UAE Tax Invoice

Under Article 59 of the VAT Executive Regulations, a compliant tax invoice should include these elements.

The Words “Tax Invoice”

The document must clearly show the words “Tax Invoice” at the top, exactly as worded, not simply “Invoice”.

Supplier Details and TRN

Your legal business name, address, and 15-digit TRN. This is the single most verified field on any UAE invoice.

Customer Details

The customer’s name and address, plus their TRN when they are VAT-registered, so they can recover input VAT.

Invoice Number and Dates

A unique, sequential invoice number, the date of issue, and the date of supply if it differs from the issue date.

Description of Supply

Each item or service with its description, quantity, unit price, applicable VAT rate, and line total.

Subtotal, VAT, and Grand Total

The amount excluding VAT, any discount, the total VAT charged in AED, and the grand total payable including VAT.

Why It Matters

Benefits of Using a Professional Invoice Format

Industry-Specific Layouts

Columns and terms tailored to your trade, from consignment numbers for courier to purity and making charges for jewellery.

Save Time on Every Bill

Reusable templates with live formulas remove repetitive maths and let you raise accurate invoices in minutes.

Better Record-Keeping

Consistent, numbered invoices make it easy to store, retrieve, and reference past sales for VAT returns.

Frequently Asked Questions

Everything you need to know about UAE invoice formats.

An invoice format is a ready-made template used to bill customers for goods or services. In the UAE it carries the fields the Federal Tax Authority requires, including your TRN, a sequential invoice number, the description of supply, 5% VAT, and the total in AED.

Under Article 59 of the VAT Executive Regulations, a full tax invoice must show the words “Tax Invoice”, the supplier’s name, address, and TRN, the customer’s details and TRN where registered, a unique invoice number, the issue date, a description of each item with quantity and unit price, the VAT rate and amount, the subtotal excluding VAT, and the total including VAT in AED.

A full tax invoice carries both supplier and customer details, including the buyer’s TRN, and is required when the customer is VAT-registered and the supply is over AED 10,000. A simplified tax invoice carries fewer details, omits the buyer’s name and TRN, and is used for retail and consumer sales.

No. A proforma invoice is a preliminary bill issued before a sale is confirmed, often for a booking or an advance payment. It is not a valid tax document and cannot be used to claim input VAT. A tax invoice must be issued once the supply is made.

Standard-rated VAT is charged at 5% on the taxable amount after any discount. Show the subtotal excluding VAT, the 5% VAT amount in AED, and the grand total including VAT so the breakdown is clear. Some supplies, such as certain healthcare and residential property, may be zero-rated or exempt.

Excel is ideal because it auto-calculates the amount, VAT, and totals for you. Word is best for quick edits and customisation. PDF is a clean, print-and-fill copy you can complete by hand or share as a locked document.

Yes. You can add your business logo, change the colours to match your brand, and edit the item columns and terms to suit your industry. Remember to add your own TRN and a sequential invoice number before issuing.

The UAE is introducing structured e-invoicing, a machine-readable format exchanged through accredited providers, with a phased rollout beginning with large businesses. These downloadable templates are the standard invoice format for everyday billing and printing, and remain valid alongside that programme.
